Hi there, Sam from Matter here, and in this video I'm going to show you how you can celebrate birthdays and work anniversaries inside Teams. More specifically, we're going to walk through the options for date collection, the options for banners and texts, and coins and rewards and the delivery timing. So the celebration feature is a really simple feature. All you do is get the dates to Matter and we'll automatically celebrate it for you.
We're going to hop in the web app and talk about those date collection methods. We're going to be in the web app, go into settings, Celebrations, and inside the settings you'll have two separate sections, one for birthdays and one for work anniversaries. These settings are respective to the section. So for date collection, you have a few different options. One option is you can have Matter automatically ask team members. Simply click the button and Matter's gonna go ahead and send direct, a direct message to people inside of Teams. They'll get that notification in the chat, and they can go ahead and click Add My Birth Date and fill in the month and day should they wish to participate. This is perfect for birthdays, making it self-serve optional.
So if people don't want to celebrate, they don't have to do anything. In addition, if you choose this option, we'd recommend enabling auto-collect. That way, if somebody new joins the team, Matter will go ahead and automatically ask for you. Another common option is that you can go ahead and bulk add in the dates via Excel file upload. Simply click Download Template, and then go ahead and add in the respective dates to the respective users. Please note, you should only update columns D through J. Do not update or edit columns A, B, and C, nor the name of the sheet. When you're happy with it, go ahead and save it and upload the completed template.
Any adjustment, you'll get a notification at the bottom that Matter's made adjustments. And you can also see the number of celebrations entered in here in the respective sections. Additionally, if you like, you can also have Matter pull in the dates from your HRIS system. Simply contact us for more details. Next, we're gonna go ahead and talk about the celebration banner. So by default, Matter will use our Matter template. If you'd like to change that, you definitely can. Simply go into the settings here and select the different option.
You can either do a custom image upload. This is great if you want to have your own branded banner. Please note this banner is the same for every celebration. Or you can do an image URL library. You can add up to 10 image URLs. We'd recommend using Giphy for fun as well, and you can go ahead and put those in here and you can see the preview at any time. Matter will randomly select one of the images from your library, and for the celebrations, you can go ahead and have either option for birthdays and work anniversaries. They don't need to be the same, and of course you can edit the text here and use some of the variables for birthdays and work anniversaries as well.
Lastly, we're gonna go ahead and talk about delivery and coins and rewards. So for birthday, it's, it's a flat amount, and for work anniversaries, you can specify for the year of service, perfect for milestone years if you want to give out more coins. If you want to, you can also set this to zero. You don't have to give out any coins. And for the work anniversaries here, if you do want to set a custom amount, click Add Custom Amount, add in the year, and then add in the coin amount as well. For every non-specified year, we'll use the default amount. So in this scenario, years 1, 2, 3, and 4 would receive 200 coins, year 5 would be 500 coins, year 6, 7, 8, 9 would be 200 coins as well. And lastly, for the celebration dates, by default, if the celebration happens to be on Saturday or Sunday, we'll celebrate it on the previous Friday during the week.
If you like it celebrating the actual day, simply change the delivery and you can send it on weekends as well. So that's pretty much celebrations of Matter. If you have any questions, feel free to message us at hello@matterapp.com, and we'd be more than happy to help. Thanks for watching and bye for now.
